General Summary

This position is responsible for supporting the commercial sales team and other critical internal functions in the day to day development, distribution and maintenance of information to fulfill North America customers’ information requests.  Such requests will include customer questionnaires, Oterra product information and data, customer account information, or other relevant data and analytics to meet customer needs. 

 

This is an individual contributor role reporting to the NAM Vice President of Sales and Marketing. 
The team member will work closely with regional sales directors and their account managers, regional marketing and demand planning, and other critical functions where a capable internal commercial partner is essential to the effective service for customers.  Responsiveness to customers and timely completion of work products are an important KPI for the position.  The customer base will be focused
on regional Focus Customers and Strategic Accounts in the USA and Canada that are not linked to the Global Strategic Account portfolio. 

 

Principal Duties And Responsibilities

  1. Work with other team members to ensure methods are developed and followed for the organization, maintenance, routine updating, and quality control for documentation related customer requests.
  2. Prepare, complete, maintain and distribute documentation for customers including customer questionnaires, product documentation, product specifications, certificates (e.g. COAs, COCs, COIs, Safety Data Sheets, Kosher and Halal certificates, allergen statements, GMO statements, nutritional and ingredient information, customer specific numbers or packaging, customer metrics reporting, and other required documentation to support customers or industry requirements.
  3. Provide support on demand for the sales team and our customers by responding in a timely manner to new information requests necessary to ensure the customer satisfaction remains high, the existing business remains stable, and new business deals are closed.
  4. Support the selling process with the broader sales organization by supporting information and documentation to team members and customers for: a) RFIs and related RFPs/RFQs; b) relevant notifications/letters to customers; c)  other activities that support the selling process.
  5. Communicate and collaborate with other critical functions in support of the selling process and business operation including Global Business Support, Customer Service, Regulatory, Quality, Supply Chain where Sales and/or customer input is needed.
  6. Support other activities within the role as they emerge as defined by the VP of Sales and Marketing and as business needs arise. 
  7. Travel is required 10% or less for the position and primarily linked to internal meetings.

  4. Ability to work with structure, be systematic and organized in approach to work and bring a results orientation and behavioral style.
  5. Ability to prioritize and maintain flexible attitude as role demands increase and priorities need to shift in support of customer or organization needs.
  6. Food, quality, regulatory and/or operational experience/knowledge is preferred and considered an important success criteria.
  7. Excellent IT-skills and familiarity with critical business applications such as SAP, Excel, Powerpoint & Word, Salesforce. Familiarity with documentation processes/procedures and industry tools such as TraceGains and customer-vendor portals.
  8. Minimum of 5 years of experience in related role or field.
  9. Bachelor’s degree or higher, preferably in Data Management, Accounting/Finance, IT, Science, Engineering, or other.
  10. Ability to read, write and speak English.

 

Work Conditions

Working environment is generally in an office setting with other team members.  Ability to work remote from home must be possible given potential Covid restrictions may influence work locations.  Therefore, a satisfactory home office free from distractions is a must.  Methods of communication within the organization include face to face meetings, MS Teams video conferences, and phone.  Working hours may be necessary in early morning, evening or weekend if urgent requests arise from customers.
